This article explains how timekeeping is done for department employees. The process is different for UMG staff, WRHA/HSC staff and University staff.

Timekeeping for UMG staff

UMG#staff submit their time directly to Payworks. See How to submit extra time worked and absence requests to Payworks for UMG employees.

Timekeeping for WRHA/HSC staff

WRHA/HSC staff email their timesheets weekly to their designed payroll person and cc their Manager.

  • Full-time employees are pre-coded in SAP and only exceptions are recorded. The Physician Services Manager must approve the Timekeeper submissions weekly in SAP.
  • Part-time (Flex) employees submit the hours worked for the week and the Physician Services Manager must approve the submissions weekly in SAP.
  • The deadline for time sheet submission is every Thursday by 9 am. If deadline is missed the employee risks not receiving pay especially for flex employees.

Timekeeping for U of M

University staff email their time sheet weekly to their designated payroll person and cc their Manager.

  • University of Manitoba staff submit their time sheets weekly and the Timekeeper enters or approves their submissions in VIP. Batch submissions must be entered weekly by the Timekeeper regardless if the employee is full-time or part-time.
  • Timesheets are distributed to the employees via the timekeeper.
  • Timesheets are approved by the PI and PSM.

  • This table is under U of M timekeeping. I would agree that it might be nice to have a table that does all timekeeping, but we should then either move this to be generic or move each piece to its respective timekeeping. I like it as one, but no idea where to put it! Thoughts? User: Tcipriano
    • I agree, just having it under U of M is not helpful. Tamara, will having it under a different heading like this do or do we need to think through this further?

  • I don't understand why we have this table. Wouldn't the vast majority simply report to "the PSM for their section"? If so, we could direct them to a list of that ( or draw one here automatically), and only have a MUCH smaller table of exceptions here. In any case I have updated this for now so at least the PSMs resolve and will self-update, rather than having to add names locally.
