  • Keep in mind that all info pulled need to have the calendar year parameters
    • Are you sure it needs those parameters? I suspect if you used the most current possible, and monitored last editor and last edit date, you would be miles ahead. The problem with adding dates is that it really becomes work because everything will need to be updated, even stuff that has not changed, and there is infrastructure to build and maintain for it etc. We can discuss.

I can see where Dr. ___, MD is somewhat duplicating. Is this just about AR or about how we do credentials on wiki? We do have non-physician PhD Scientists, so without that the MD there will there be a loss of info. I suppose we could use some convention to deal with it. What would that convention be, though? Only physicians get to be called Dr. ___? We may end up with a new person from a more conservative background who takes issue with that. I don't feel strongly about this, just putting down some thoughts, would be interested to hear those from others.
Arrange for dictation numberHow does this fit in with Accuro EMR and how some physicians just use that now? Might want to confirm with Accuro Clinic Support Team Manager if we want to start new people off with the suggestion that they may not need this if they are on Accuro, and spend that money on training and set up of partial letter automation instead. However, what else should this be linked in with? I don't understand the process well enough, or where in the process this happens. Should it be part of one of the hiring checklists?
    Where are you when you start this, ie which program or site do you click "home" on?
    Creating an expense report in Concur Travel & ExpenseCan a secretary who reviews these see the submitted receipts in CONCUR? If so, why store? Again, these are instructions, we can do all sorts of things, which should we do?
    Step 13 in there is the only one mentioning Concur and it doesn't say anything about printing. This point says things can be printed. A lot of stuff can be printed. If this are process instructions, then either stuff should be printed for a purpose, or it should not be. Which is it?

    Critical illness leave St. Boniface HospitalTom, you mention Shared Health in here yet the title says St Boniface; is this shared health wide or specific to each hospital? Some of it seems to be Service Canada, so same for everyone. Would it make more sense to have a "Critical Illness Leave" page that lists and links org specific? Who would know most about this? Tom response-there are nuances between St. B. and Shared Health. The other hospitals seem to follow Shared Health, however I haven't looked at Concordia yet.

    • The access given to the individual will depend on the employees role. The form doesn't allow you an option as to "full access," "read only access," etc.; that's why you put the persons role on the form so that the person giving access knows what access to provide.

    • Do we really want the interview questions and reference check questions to be public? Perhaps this should have instructions on where to find this information on the managers shared drive instead of posting?
      • It depends. Do you want people to be able to give well considered answers that they might have prepared for (which would show you some interest in the job) or do you think it is more important to see how well they are able to perform unprepared and under pressure? I actually wonder if there is any _one_ template for this. Half of SRG is UMG, and even within that group questions would differ significantly from one to the next.

    Natasha sent me a scan of a message from MBTelehealh from Jan 2019 about some changes. It doesn't make sense to upload a note about changes when we don't have processes they apply to.     On Call Scheduling For CTU MedicineCan this be copy-pasted into an email and sent instead of a fax? Would have to be done by the replacement physician since he or she will now be responsible, and having sent the email would acknowledge that.     Presumably it's not the Managing Director who updates the schedule. Do we ever not allow the change? If we almost always allow it, why not send it to the person who deals with the schedule instead and only CC the MD? That way MD doesn't need to do anything unless intervention is required.     Is there any reason why the hiring manager would not just fill out the form themselves? By delegating this task to site contacts the manager instead ends up tracking whether it has been done, so doesn't necessarily save time.

    • The contact at SBH is the Admin for the section and they are delegated by the hiring manager to do the paperwork for the individual to obtain an ID badge. Plus the MGRs here at HSC are not recognized to do this task at SBH. This question can be removed as well.

    Section Admin SupportWe need a way to document the different administrative support activities that happen in sections to meet the followign needs:
    • facilitate vacation coverage
    • facilitate grouping by task type or physician or administrative person for different use cases
    • make it easy to edit any part of this and still fit in with the structure

    I propose that we do this by changing the Program Secretary pages to "<section> Admin Support" (e.g. Hepatology Admin Support) pages - this will remove the discussion of Secretary II or III. On those pages we would list the individual responsibilities as structured data:

    • doer (if all, then leave blank)
    • recipient (if all then leave blank)
    • task category (e.g. mail, dictation, whatever would have been a heading before)
    • details (what is done and how, with enough detail for an new, uninitiated secretary to complete the task)

    I have set up the tools on the wiki to do this: Template:AdmDuty. I have also created an example page: Hepatology Admin Support. Once we test and settle that this can hold our data I will add the ability to populate the template to Form:Role so it's easy.

If so, we could direct them to a list of that ( or draw one here automatically), and only have a MUCH smaller table of exceptions here. In any case I have updated this for now so at least the PSMs resolve and will self-update, rather than having to add names locally.
