  • Keep in mind that all info pulled need to have the calendar year parameters
    • Are you sure it needs those parameters? I suspect if you used the most current possible, and monitored last editor and last edit date, you would be miles ahead. The problem with adding dates is that it really becomes work because everything will need to be updated, even stuff that has not changed, and there is infrastructure to build and maintain for it etc. We can discuss.


I can see where Dr. ___, MD is somewhat duplicating. Is this just about AR or about how we do credentials on wiki? We do have non-physician PhD Scientists, so without that the MD there will there be a loss of info. I suppose we could use some convention to deal with it. What would that convention be, though? Only physicians get to be called Dr. ___? We may end up with a new person from a more conservative background who takes issue with that. I don't feel strongly about this, just putting down some thoughts, would be interested to hear those from others.

If so, breaking this out into its own page makes sense, but if not so, we should just list who they are and how to get a hold of them here, rather than making a page. Arrange for dictation numberHow does this fit in with Accuro EMR and how some physicians just use that now? Might want to confirm with Accuro Clinic Support Team Manager if we want to start new people off with the suggestion that they may not need this if they are on Accuro, and spend that money on training and set up of partial letter automation instead. Booking meetingsI am starting this because there are discussions whether it is appropriate to just "book into" someone else's calendar without first confirming, and someone mentioned Doodle.
Doodle.com is a service that facilitates booking times with multiple people. Some staff use it, and I think it's a good tool. Are we all on board with using it? If so, is it something we should document here and then fan out to people who may not know about it yet?
  • I think it is entirely appropriate to check someone's availability in Outlook and to send them an invite for a time that appears available. There are some questions whether that is acceptable practice, and some concerns about the practicality of doing it when some people don't use their calendar, or there is a mix between U of M and WRHA calendars. Do PSMs have thoughts on this ?

    Confidential wasteSuzanne Doyle could not find any information yet on how the U of M deals with confidential waste. I suspect U of M employees at HSC will use the locked confidential waste bins that will be located throughout HSC.
    Contract Expiry DatesIf the person pages are filled correctly we should be able to get this from the wiki... but do we want it there or not? Right now that content is not filled into the "ED" field for anyone.     Creating an advertisement for a physician positionI split this out from Procurement at U of M since I would never have thought of searching for it there; it will be linked from there. However, what else should this be linked in with? Is it part of category:recruitment? I don't understand the process well enough, or where in the process this happens. Should it be part of one of the hiring checklists?

    Creating an expense report in Concur Travel & ExpenseStep 13 in there is the only one mentioning Concur and it doesn't say anything about printing. This point says things can be printed. A lot of stuff can be printed. If this are process instructions, then either stuff should be printed for a purpose, or it should not be. Which is it?
    Can a secretary who reviews these see the submitted receipts in CONCUR? If so, why store? Again, these are instructions, we can do all sorts of things, which should we do?

    Critical illness leave St. Boniface HospitalTom, you mention Shared Health in here yet the title says St Boniface; is this shared health wide or specific to each hospital? Some of it seems to be Service Canada, so same for everyone. Would it make more sense to have a "Critical Illness Leave" page that lists and links org specific? Who would know most about this? Tom response-there are nuances between St. B. and Shared Health. The other hospitals seem to follow Shared Health, however I haven't looked at Concordia yet.

    • The access given to the individual will depend on the employees role. The form doesn't allow you an option as to "full access," "read only access," etc.; that's why you put the persons role on the form so that the person giving access knows what access to provide.

    Email etiquetteU of W has a signature generator; we could actually easily add this automatically to the admin section of our person tabs on the wiki, since we already should have the relevant info on there. Is that something we would want?
    • How about reducing emails as a team. The Email Charter has some good steps, but we would need to agree as a team that these are good steps. Sometimes they mean changing our email behaviours in ways that may seem rude at first, but are actually in the interest of both sender and recipient. Are we ready to use emails better?

    Employee OnboardingWe need to break out timekeeping so it can be an onboarding task, right now it's one huge page Timekeeping. Then needs to include "Email assigned timekeeper and provide employee number and start date."

    Section Admin SupportWe need a way to document the different administrative support activities that happen in sections to meet the followign needs:
    • facilitate vacation coverage
    • facilitate grouping by task type or physician or administrative person for different use cases
    • make it easy to edit any part of this and still fit in with the structure

    I propose that we do this by changing the Program Secretary pages to "<section> Admin Support" (e.g. Hepatology Admin Support) pages - this will remove the discussion of Secretary II or III. On those pages we would list the individual responsibilities as structured data:

    • doer (if all, then leave blank)
    • recipient (if all then leave blank)
    • task category (e.g. mail, dictation, whatever would have been a heading before)
    • details (what is done and how, with enough detail for an new, uninitiated secretary to complete the task)

    I have set up the tools on the wiki to do this: Template:AdmDuty. I have also created an example page: Hepatology Admin Support. Once we test and settle that this can hold our data I will add the ability to populate the template to Form:Role so it's easy.
