The Provincial Dictation and Transcription System (PDAT) allows providers to dictate patient care reports and facilitates transcription by Transcription Services.

Setting up Provincial Dictation and Transcription System

Providers using PDAT use ESign to electronically sign their transcriptions.

PDAT process

  • Physicians dictate their correspondence into PDAT using one of the following methods:
  • Telephone
  • Dictation equipment
  • PDAT - Provincial Dictation User Instructions
  • All users of the central dictation system must be registered and have their own user ID#.
  • Do NOT give your user ID# out for others to use. Such dictation will not be transcribed and your Department Head will be notified. This may result in loss of privileges for the dictator and the owner of the ID#.
  • Most transcriptionists do not have access to the patient chart for reference, so please state numbers, dates, dosages, names, etc, clearly.

TELEPHONE DICTATION INSTRUCTIONS

  • Dial 9 926-3600 to access the regional dictation system,
  • Key in your user identification number followed by the # key. Your # is your billing # it is a 4 digit # and 6 digit for residents the hit #pound key.
  • You will be dictating to an HSC site, enter the site number followed by the # key, HSC is site 13#
  • Key in the work type number followed by the # key. The worktype is 53#
  • Key in the patient Health Record # including all zeros preceding the number,
  • You will hear only a short beep and immediately be in the record mode.
  • Verbally state your name, spell the patient’s first and last name, dictate visit date, who the letter is to be addressed to (including spelling of name, address) and any cc’s you wish sent out (including spelling of name, address.
  • Please dictate dosages as: ie: say 16 if the dosage is 16 and say 60 if the dosage is 60. It is very easy to confuse 16 and 60.

Key Pad Functions

  • PAUSE/RECORD Press 2 to pause (you will hear an intermittent tone); press 2 again to resume

dictation (you will hear a single tone).

  • REWIND/PLAY Press 3 for a short rewind with automatic playback.
  • FAST FORWARD Incremental forward; press 3 to release fast forward. Press 44 to fast forward

to end dictation.

  • REWIND Press 7 for incremental rewind; press 3 to release. Press 77 to rewind to

beginning of dictation.

  • DISCONNECT Press 5 or 9 to complete report , acquire dictation # and disconnect from dictation FROM SYSTEM system,
